Job Summary
The Executive Assistant performs a critically important role in our client-centered work environment. The EA performs an array of secretarial and clerical duties including typing correspondence, memoranda, reports and meeting notes; scheduling appointments and meetings; operating office equipment (e.g. copier and fax); supports firm leadership and management. Also responsible for answering and directing all incoming calls, mail distribution, flow of correspondence, and additional clerical duties as necessary.

Duties and Responsibilities
The Executive Assistant can expect to focus in the following areas:

  • Answer incoming calls and direct to the appropriate firm employee, taking messages as necessary
  • Greet and direct clients, visitors, and vendors to the firm;
  • Receive, sort and forward incoming mail; maintain magazine subscriptions and route publications; coordinate the pick-up and delivery of express mail services
  • Manage and maintain executives’ schedules
  • Schedule meetings and appointments
  • Prepare written correspondence, reports and presentations
  • Prepare agendas, notices, and minutes for monthly firm wide meetings
  • Create and develop visual presentations
  • Work independently and within a team on special and non-recurring and on-going projects. Act as project manager for special projects at the request of upper level management, which may include: planning and coordinating presentations, disseminating information, and organizing company-wide events
  • Assist in the ordering, receiving, stocking and distribution of office supplies and equipment; copy machine supply and maintenance
  • Execute a variety of tasks crucial to the efficient, day-to-day operations of the firm; help to ensure this efficiency by working collaboratively and maintaining an upbeat, positive attitude;
  • Execute and administer projects and other tasks as assigned by management.

Qualifications
The Executive Assistant position typically requires the following qualifications:

  • Must have a high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy
  • Work requires continual attention to detail in composing, typing and proofing material, establishing priorities and meeting deadlines. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
  • Ability to effectively prioritize work and to work independently on assigned tasks as well as accept direction on given assignments
  • Must be able to interact and communicate with individuals at all levels of the organization, as well as with clients
  • Proficiency with Word, Excel, PowerPoint and Outlook
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
  • Excellent verbal and written communication skills
  • Knowledge and experience in the investment business preferred
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Desire/ability to work successfully in a small company environment
  • Minimum of a high school diploma or equivalent (GED); 2-5 years of relevant experience or equivalent combination of education and experience in financial or related field a plus
